Terms & Conditions

These Terms & Conditions govern all bookings, hire items, and bespoke event styling services provided by JNB Events (“the Company”, “we”, “us”) to the client (“the Client”, “you”) named in the accompanying Quotation or Booking Agreement.

1. Booking Confirmation & Payment Terms

Quotation Validity: Quotations provided by JNB Events remain valid for 14 calendar days from the date of issue. Dates are not reserved until a formal booking is completed.
Booking Confirmation: A booking is formally confirmed once the Client accepts the quotation, signs or electronically approves the agreement, and pays the agreed initial deposit.
Deposit Purpose: The deposit (minimum 25% of the total booking price or £500, as specified in your quotation) is non-refundable, subject to the Client’s statutory consumer rights. It secures your exclusive event date in our calendar and allows JNB Events to begin planning, ordering bespoke items, and allocating equipment and crew.
Final Balance: The remaining balance must be paid in full no later than 14 calendar days prior to the event date. For bookings made within 14 days of the event date, 100% of the total price is due immediately upon booking.
Additional Services: Any additional services, items, or changes requested after booking confirmation will be quoted separately and must be paid before installation.

2. Cancellation & Refund Policy

All cancellations must be submitted in writing via email or written communication.

Because event styling involves reserving bespoke inventory, custom floral planning, and turning away other clients for the same date, cancellation charges apply as follows:

More than 90 days before the event date: The initial deposit is retained. Any additional balance payments made are refunded in full.
30 to 90 days before the event date: The deposit is retained, plus 50% of the remaining balance to cover committed stock, supplier reservations, and administrative costs.
Fewer than 30 days before the event date: 100% of the total booking price is payable and non-refundable, as all florals, materials, transport, and crew will have been committed.

If JNB Events is able to rebook the identical date and service with another client, we will reasonably assess any partial refund or credit towards future services.

3. Rescheduling & Date Changes

Written Request: Requests to reschedule an event must be made in writing as early as possible and are strictly subject to JNB Events’ availability on the proposed new date.
Transfer of Funds: Where an alternative date is agreed within 12 months of the original booking, all payments made will be transferred to the new date.
Price Adjustments: Any additional costs or supplier rate changes resulting from a date change will be discussed with the Client before the new date is confirmed.

4. Décor Specifications, Fresh Florals & Variations

Agreed Scope: JNB Events will deliver the mandap, stages, backdrop styling, and décor agreed in the confirmed quotation.
Organic Variations: As fresh flowers, foliage, and natural fabrics are organic products, minor variations in shade, bloom size, and foliage density from inspiration images are natural and to be expected.
Substitutions: Where a specific flower, fabric, prop, or material becomes unavailable due to seasonal shortages, grower failure, or supplier discontinuation, JNB Events reserves the right to provide a suitable alternative of equivalent or greater luxury quality and aesthetic match.

5. Venue Access, Timings & Set-up

Access Window: The Client is responsible for ensuring the venue provides sufficient access windows (typically 3 to 4 hours minimum prior to guest arrival for mandap and stage setups) and clear loading, parking, and lift facilities.
Delays Outside Our Control: JNB Events cannot be held responsible for set-up delays caused by restricted venue access, early guest arrivals, delays from other vendors (e.g. caterers, AV production), or lack of venue power/heating.
De-rig & Collection: De-rig and collection times must be agreed prior to the event date. Additional labour or transport costs resulting from venue overtime charges or collection delays may be chargeable.

6. Hire Equipment, Care & Damage

Ownership: All mandaps, stages, furniture, Chiavari chairs, aisle runners, plinths, backdrop frames, LED lighting, and decorative accessories remain the exclusive property of JNB Events or our appointed partners.
Care & Safety: The Client and their guests must not move, dismantle, alter, or remove hired structures, floral arches, or electrical setups without prior permission.
Damage & Loss: The Client is responsible for the safe custody of hired items from completion of set-up until collection. The Client agrees to pay reasonable repair or replacement costs for any equipment or décor that is lost, stolen, or damaged by guests or persons under the Client’s responsibility (fair wear and tear excepted).

7. Force Majeure & Unforeseen Circumstances

JNB Events will not be liable for delays or failure to perform services caused by events reasonably beyond our control, including severe weather, venue closure, fire, flood, government emergency restrictions, major travel disruption, serious illness, or power failures. In such circumstances, we will work closely with the Client to find a reasonable alternative or rearrange the booking.

8. Photography & Marketing

Installation Documentation: JNB Events may photograph and video our styling, mandaps, and stage installations for our portfolio, website, and social media channels.
Privacy: Where identifiable images of the Client or guests are intended to be used, appropriate permission will be sought. The Client may notify JNB Events in writing before the event if they prefer private installation shots only.

9. Liability & Insurance

Care & Standards: JNB Events provides all styling and hire services with professional care and skill, and holds full Public Liability Insurance.
Statutory Rights: Nothing in these terms excludes or limits any statutory consumer rights that cannot legally be excluded.
Limitation: Except for liability that cannot be limited by law, JNB Events’ total liability for any claim arising from a booking shall not exceed the total price paid by the Client for that booking.

10. Governing Law

These terms and conditions and any dispute arising from them shall be governed by and construed in accordance with the laws of England and Wales, subject to the exclusive jurisdiction of the English courts.
